Administration

The administration has been divided into three main sections: one containing various types of directories, one for information relating to the calendar and one for information about the organization.

Register Maintenance

User Directory

This section lets you manage a number of directories on users, customers, suppliers, projects, products/services, activities.

User Directory and User Groups

Here you register everyone who is going to work in the program and divide them into user groups. The groups are specified by the organization and can for instance be marketing, finance, programming and so on.

Customers

The searchable customer directory contains information on all customers and can be exported as an Excel file.

Suppliers

This directory provides information on all the suppliers that have been added into the system. The directory is searchable and can be exported as an Excel file.

Products and Services

The default settings state that only administrators and project managers can add new products and services to the system. All project members can view which products or services are available and register expenses for them on their projects. The directory can be exported as an Excel file.

Projects and Activities

Here the project manager or administrator creates and edits projects and activities and related information.

Calendar Maintenance

Normal working hours

This section contains information relating to the calendar, dates and weeks. 

Normal Working Hours and Vacations

The normal working hours per day need to be specified for each user. This can be done either by the administrator or by the user. The calendar then displays the normal working hours month by month and for each individual date. Vacations are also registered in the calendar.

Public Holidays and Week Numbering

In the calendar, you also need to add public holidays and any other days when people will not be working, or when other time codes will apply. You also need to specify which system of numbering the weeks of the year will be used, since the number of days that are required to be in the new year for it to be counted as week one varies.

Organizational Settings

Here, the administrator enters all the information about the organization, for instance details for invoicing or account numbers and result units for book-keeping. It is also here that time codes are specified and a logbook with any automatic error messages generated by the program can be found.

Result Units

All the result units that are to be available for registrations in the system are specified here. Note that the word result unit may refer to a user’s belonging to a particular result unit, or a project’s result unit. It is the project's own result unit that determines where it is registered for bookkeeping.

Time Codes

You can define as many time codes as your organization needs. In addition to that for normal working hours, various codes are needed with different ways of calculating costs and representing various tasks and working hours. The registered hours can then be used for detailed invoices or salary details with for instance codes for overtime, sick leave and so on.

Languages

The administrator specifies which languages will be active in the application. TIME is currently available in English, French, German and Swedish.
